OBM Privacy Policy
OBM is committed to maintaining high standards in the protection of our clients’ personal information. This policy should be read in conjunction with the Privacy Act 1988 (Cth) and the Privacy Amendment (Private Sector) Act 2000 which includes Privacy Principles which are binding on companies operating within Australia.
OBM will, from time to time, be required to collect information (both personal and commercial) from its clients and affiliates. The acquisition, use and disclosure of that information will be undertaken in accordance with the Privacy Principles and legislative requirements pursuant to the Privacy Act and the below described policy:
What kind of Information is collected?
Throughout the course of business, OBM will require information from its clients and affiliates in order to more efficiently service the particular needs of our customers. The information may be commercially sensitive for the purpose of providing business solutions, personal information for billing and freight requirements or financial information to assist in the processing of claims undertaken on behalf of clients.
Given the nature of OBM as an International Trade Solutions company, from time to time, OBM may require samples of products for assessment purposes. Commercially sensitive products or intellectual property may also be required. OBM maintains systems to ensure that confidentiality is maintained by way of secure disposal methods and software firewalls.
How will the information be used?
OBM may use the information gathered for the following purposes:
- to communicate with clients, affiliates and staff;
- to ensure efficiency of freight services;
- to ensure efficiency of customer service;
- to ensure efficiency of accounting measures and billing;
- to ensure accuracy in professional advice;
- to maintain the OBM client database;
- to service the needs of our various clients and affiliates;
- to ensure, where required, accurate reporting is made to various government departments including, but not limited to, the Australian Taxation Office, AusIndustry and the Australian Customs Service; and
- the provision of information where required by law.
OBM will not disclose personal information gathered where it is unreasonable to do so, or is prohibited by law unless consent is given or same is required by law.
In what circumstances will the information gathered be disclosed? OBM makes every effort to safeguard information provided by clients and to ensure that OBM does not disclose personal information to third parties.
Personal information will not be disclosed unless:
- the party submitting such information has given permission to disclose the information; or
- the party submitting the information is notified prior to the disclosure of any personal information; or
- the individual asks that such information be disclosed to third parties; or
- unless the disclosure of the personal information could be reasonably expected; or
- unless disclosure is required by law.
How will the information be secured? Access to electronically stored information is protected by profile passwords restricting access both between departments and between employees. Domain permission groups restrict both intra and inter departmental electronic information.
Access to information through the website is also password protected and internally structured to restrict client access to information owned or controlled by the specific client.
Hard copy documents are stored in lockable filing systems and documents in the control of OBM are destroyed periodically after a seven year period.
OBM also makes use of secure document bins for discarded documents containing or potentially containing confidential or personal information. Information discarded in the locked bins is destroyed by way of shredding when the bins are emptied.
Data Security
OBM will destroy all information after a period of seven years. The in-house Information Technology department maintains and updates safeguards used to monitor and maintain personal information of a confidential nature to protect against unauthorised access, misuse, alteration, destruction and loss.
Secure Internet Facilities
OBM is unable to guarantee the integrity of internet data transfer security beyond the control of the company. Accordingly, while OBM strives to protect the personal information of clients and associates, OBM is unable to guarantee security of any information transmitted to it or from its online products or services. Users utilise same at the own risk.
OBM maintains password security for all electronic data sources as well as the installation and maintenance of firewall systems. Each department has a lockable filing system and assigned fax and printer access.
